Background

  • IFM is a leading provider of facility management services in Botswana. A 100% citizen owned and operated company, IFM has honed its skills providing FM service to the Ministry Of Health and wellness overseeing over 315 facilities including offices, hospitals, clinics, laboratories and staff houses. IFM provides both soft and hard service management for the facilities with its team of qualifies facility managers and supervisors.

Services

IFM coordinates space, infrastructure, people and organization for various clients. We operate at two levels: strategic and operational.
Strategic:Clients, customers and end-users are informed about the potential impact of their decisions on the provision of space, services, cost and business risk.
Operational:IFM ensures corporation and regulatory compliance plus the proper operation of all aspects of the facility to create an optimal, safe and cost effective environment for the occupants to function.
This is accomplished by managing the following activities:

Health and safety

IFM controls and manages many safety related issues. Failure to do so may lead to injury, loss of business, prosecution and insurance claims; the confidence of customers and investors in the business may also be shaken by adverse publicity.

Fire safety

The threat from fire carries one of the highest risk to loss of life, and the potential to damage or shutdown a business. IFM develops systems and processes for maintenance, inspection and testing for all of the fire safety equipment and systems, keeping records and certificates of compliance.

Security

Security to any organization is necessary to protect the employees and the business. IFM manages the hard and soft services associated with securing the facilities. This includes managing security guards and well as ensuring surveillance systems and processes are fully operational and constantly monitored.

Maintenance, testing and inspections

Maintenance, testing and inspection schedules are required to ensure that the facility is operating safely and efficiently, to maximize the life of equipment and reduce the risk of failure. IFM ensures that the facilities are compliant with statutory obligations by ensuring the work is planned using an cloud based Enterprise Asset Management System specifically customised to meet the clients needs.

Laundry

IFM manages the laundry services to ensure a regular supply of clean linen within a reasonable cost to the hospital. Critical to this is to ensure linen, often contaminated with infectious diseases, is handled properly to reduce the risk of infection to patients, visitors and staff.

Cleaning & Hygiene

IFM is responsible for the supervising the regular and routine cleaning of all surfaces and maintaining a high level of hygiene in the facility in collaboration with the Infection Control Committee. IFM ensures there is a continuing program for staff training that stresses personal hygiene, the importance of frequent and careful washing of hands, and cleaning methods as well as understanding some basic microbiology including the transmission of disease, understanding the causes of surface contamination and how to limit the cross-transmission of organisms.

Operational

IFM is responsible for the day-to-day running of the facilities and ensuring that faults are reported to a help desk and attended to promptly to ensure minimum disruptions to the operation of the facility. The response to help desk calls are prioritized ensuring that critical services are attended to within the stipulated turnaround times. Calls are logged on the Enterprise Asset Management System which tracks proactive and reactive maintenance projects as well as procurement requests.

Tendering

IFM monitors the contracts of all outsourced services and ensures that contracts are renewed in time to avoid disruptions in services. The government tendering processes as stipulated by the Public Procurement and Asset Disposal Board are followed in a transparent process that involves the facility at every stage.

Business Continuity Planning

IFM develops continuity plans in conjunction with the facility to ensure the facility can operate and recover in the event of a major failure.

Projects

IFM has a consortium of professionals who undertake major capital and infrastructure projects whose scope is beyond routine and reactive maintenance. These projects result in the improvement of service delivery to the communities that the MOHW facilities serve.
